Job Summary

The Workplace Operations Manager at SCCVN is responsible for leading nationwide office administration and facility management, ensuring a high-performing, safe, and welcoming work environment. This role strategically blends operational oversight - including vendor governance, procurement, and facility lifecycle management - with a people-first approach to HR operations and employee experience. By leveraging a strong engineering capability and a strong service mindset, this position ensures seamless workplace functioning, compliance with corporate standards, and the successful delivery of engagement initiatives that drive the company’s culture forward.

Key Responsibilities

Office Operations & Administration
• Direct daily office operations to maintain the highest standards of hygiene, landscaping, facilities, and operational safety.
• Ensure efficient and cost-effective procurement and inventory management of all office assets.
• Act as the Single Point of Contact (SPOC) to directly resolve feedback/complaints regarding office operations and services.

Facilities & Vendor Management
• Lead as the primary liaison for integrated facility management and office movements, ensuring all transitions and partnerships aligned with corporate standards and budget.
• Oversee total facility lifecycle management, from routine maintenance to large-scale workplace capital improvements.
• Manage building legal records, ensure the accuracy of payment documents, contracts, and monitor and conduct Service Level Agreement (SLA) inspections/acceptance of the vendor’s service quality.

Workplace Management & HR Administration
• Maintain standards for cleanliness, safety, and employee well-being.
• Enforce workplace governance, including health & safety standards and internal compliance protocols.
• Oversee seamless onboarding/offboarding, long service awards, transportation, travel management, etc.
• Oversee the fulfillment and logistics of company products and gifts for internal consumption, corporate events, special occasions, ensuring fair allocation, inventory control and compliance.
• End-to-end responsibility in planning and managing administrative related budgets, expense tracking, and payment processing, etc.

Employee Experience
• Partner with cross-functional teams to implement logistics for culture and DEIB initiatives, support company events, workplace celebrations, employee well-being programs etc. to enhance workplace experience and engagement
• Contribute to building a positive, safe, and inclusive work environment

Requirements

• Bachelor’s degree in Engineering, Facilities Management, or a related discipline
• Professional Certifications (Preferred): Facility Management (IFMA), or Project Management (PMP) is a plus.
• Minimum of 5+ years of experience in corporate administration, property management, technical operations, or building operations management within large-scale organizations, Grade-A office buildings, or luxury hotels.
• Proven track record in a managerial or lead role, overseeing nationwide office operations or large-scale workplace projects.
• Demonstrated experience in vendor governance, managing third-party service providers, and ensuring corporate compliance.
• Strong hands-on experience managing site operations and technical systems is required.
• English: Good written and oral proficiency (Professional/Business level).
• Local Language (Vietnamese): Native or bilingual proficiency, with the ability to communicate effectively with stakeholders and vendors.
• Act Like an Owner (Own It): Decisiveness in task control, highly proactive, and takes ultimate responsibility for outcomes. This position will lead with a Service Mindset, setting a premium standard for hospitality and internal support that makes SCCVN truly a “Great Place To Work”.
• Collaboration: Build strong, trust-based relationships across departments. Possess advanced interpersonal and negotiation skills, essential for managing vendors, contractors, and internal stakeholders to achieve mutually beneficial outcomes.
• Innovation: Actively seek out and implement new ways to streamline administrative workflows. Leverage analytical thinking to discover more efficient processes and technological solutions to optimize the workplace experience.
• Solid understanding of budget management and legal regulations pertaining to office building and operations.
