Job Summary
- Coordinator is to handle both routine and adhoc tasks of: Reports/Inputs for Costs, Budget, Expenses, etc. Documentation, and Administrative and Travel tasks for the Team
- This role can be allocated to more than one department if required.
Key Responsibilities
- Handle tasks relating to budget and expenses planning and reporting, to ensure monthly financial inputs are correct and timely (COE, CAPEX & OPEX RE). Handle daily SAP related transactions (PR, PO, GR) and payments arrangement to vendors.
- Travel arrangement for Managers, Business Partners, Guests for both domestic and international trips. Prepare travel logistics, paperwork, to comply with the company’s travel policy. Be responsible for taking care of department Managers’ Visitors, Guests, Business Partners coming to/working in Vietnam.
- Supporting PACS community activities and admin work, programs (EKOCENTER or other sustainability activities not limited to community activities, technique, suppliers’ management…)
- Prepare, co-ordinate and distribute agendas, meeting invitations, meeting minutes, and document/information for department’s meetings, workshops, trainings, etc. Provide support in presentation consolidation and/or creation of them.
- Handle all kinds of documents to ensure they are created, modified/updated, filed, indexed timely and properly. Translate documents when required.
- Perform general clerical duties to include but not limited to: photocopying & printing, faxing, mailing, and stationery order. Assist Managers to verify team’s expenses (taxi, entertainment), verify Cash Advance applications and Expense Reports when being asked.
- Providing assistance for PACS Managers in execution of significant activities such as Happy Tet, Neighbor Day, Full moon, partner and team meetings, plant tours…
- Perform other administrative or project-based tasks as assigned
Requirements
- University/Bachelor’s Degree. Office/Business Administration
- At least 2 years in same or similar position in a big company/organization; FMCG is a plus
- Knowledge about Project Management
- Good analytical, numerical skills
- English Competency at intermediate
- SAP, MS Office, Administration, Documentation, and Planning to deal with daily tasks
- Organization, Negotiation, Communication to develop collaborative relationships
